TOUR ITINERARIES, INCLUSIONS & EXCLUSIONS
It is the responsibility of the clients to make sure that they have read and understood the detailed Quotation & Itinerary supplied to them by Ashtons Tours before making their reservation. The Quotation & Itinerary, together with Terms & Conditions, will be considered complete and binding for each particular tour once the reservation form has been received by Ashtons Tours
PRIVATE SMALL GROUP SAFARIS AMENDMENTS
Any amendments to the Quotation & Itinerary requested by clients, before a booking form is submitted, are subject to a revised Quotation & Itinerary provided by Ashtons Tours. Any amendments agreed to' by an Ashtons staff member by any other means (e.g. telephone conversations, normal email correspondence etc) will be considered not binding unless supported by a revised Quotation & Itinerary provided by Ashtons Tours.
Any amendments submitted after the booking form has been received by Ashtons Tours are subject to a penalty Amendment Fee (see below)

EXCHANGE RATE / CURRENCY VARIATION
Due to exchange rate fluctuations, in the event of a refund, there could be some variance in the amount refunded compared with the amount initially charged. Ashtons Tours accepts no liability for any variance.
Hotels: Most hotels require 100% if cancelled within 72 hours of arrival
Some hotels' fees vary client is bound to each Hotel's requirement (client is notified at time of reservation)

Ashtons Tours reserves the right to make any changes to the itinerary in the event of circumstances beyond its control. This does not entitle participants to a refund

Cover should be purchased for travel, medical, personal accident, luggage, theft and cancellations. This Cover is compulsory
PASSPORTS, VISAS ,
It is the client's own responsibility to ensure that all the applicable visas and travel documents are valid before arrival in Southern Africa . Should a client be refused entry into any country due to incorrect or incomplete documentation, Ashtons Tours will not be held liable for any costs resulting in delays or repatriation for the client or family.
HEALTH & VACCINATIONS
It is the client's own responsibility to consult a health professional in regard to compulsory vaccinations and health precautions. Pre-existing medical conditions must be stated when booking, and client is responsible for the provision of drugs or other treatment that may be required on tour.
Anti-malaria precautions are recommended for all tours (client's own responsibility); and clients are advised to bring insect repellent
Hotels: (where applicable): vouchers are issued to clients and must be presented on arrival at each Hotel; failure to do so will result in the client being charged directly by the Hotel.
Tours : vouchers will be issued to client after final payment is confirmed.
Hard suitcases are NOT permitted soft travel bags only. All luggage and personal effects are the sole responsibility of the client.

MINIMUM AGE / CHILDREN
Private Small Group Safaris :
Children 0-5 years: NOT permitted at unfenced safari camps, but are permitted on Tours which use the fenced camps. Full details available on application.
Children 6-11 years: may participate in the open-vehicle guided game drives if accompanied by a parent/guardian (children of this age are not permitted on game walks and must be cared for by a parent/guardian at the rest camp during all guided activities - unless a suitable arrangement can be made with one of the guides or staff members).
All participants pay full tour price, regardless of age 63

Participants aged 12 and upwards pay full tour price
Children 0-7 years: NOT permitted on Tours
Children 8-11 years: pay full tour price unless otherwise indicated at the time of reservation; may participate in any open-vehicle guided game drives if accompanied by a parent/guardian (children of this age are not permitted on game walks and must be cared for by a parent/guardian at the rest camp during all guided activities - unless a suitable arrangement can be made with one of the guides or staff members).
Certain camps, lodges, hotels may not accept children under 12 years. This will be confirmed at the time of requesting a booking.
Three persons sharing one room, whether adults or children (subject to availability of a Triple room): third person pays 75% of cost of Tour
Applicable to certain tours only: US$ cash only (no travellers cheques or other currency). To be given to the Tour Guide on the day of departure (not before)
EXCLUSION OF LIABILITIES / RESPONSIBILITIES
All Tours are booked and all tour arrangements are made on the express conditions that Ashtons Tours and its Partners, their employees, guides and affiliates, shall not be responsible for, and shall be exempt from, all liability in respect of any loss, injury, illness, damage, accident, fatality, delay or inconvenience experienced from time of departure to time of return.
Ashtons Tours cannot be held responsible for any damages as a result of the route navigated by the tour leader
The participant accepts that at all times the authority and decision of the tour leader will be final on all matters relating to the Tour.
Should a participant, in the sole opinion of Ashtons Tours, be considered unsuitable for the Tour, by being in contravention of any customs or laws of the country, or by reason of causing inconvenience or annoyance to other participants, Ashtons may exclude that participant from the Tour or decline to carry the participant further during the Tour and Ashtons will not be liable for any refunds.
Bookings are accepted on the understanding by the participant that certain risks exist. This is inherently part of adventure travel in Africa . Participants undertake all tours and associated expeditions entire at their own risk and must sign an Indemnity Form before departure.
